Gala-way Management Services has been retained by one of its clients –a local construction
company, to recruit and select a suitable candidate for the position of an Administrator
Job Purpose
To handle administrative tasks like preparation of quotations, tenders, answering telephone calls,
scheduling meetings, preparing reports and filing documents. The position is also responsible for
managing inventory, maintaining company records, handling budget and office reporting, invoicing
and providing customer service.
Main Duties
Directing visitors, answering phone inquiries and handling complaints in a courteous,
professional manner.
Ensuring office supplies are maintained, including checking inventory and working with
suppliers to ensure adequate levels of necessary supplies at all times.
Ensuring the confidentiality and security of files and filing systems.
Coordinating schedules, arranging meetings, distributing memos and reports and ensuring
that everyone is kept current of necessary company news and information.
Operating copy equipment, fax machines, printers or other equipment necessary.
Preparing regular reports on expenses and office budgets.
Maintaining and updating company databases.
Answering queries by employees and clients.
Updating office policies as needed.
Maintaining company calendar and scheduling appointments.
Preparing reports and presentations with statistical data, as assigned.
Arranging travel and accommodations.
Maintaining and running company’s social media pages.
Qualifications and Experience
A degree or Diploma in Administration or related field.
A minimum of 3 years’ working experience.
Clean class 4 Driver’s licence will be an added advantage.
Mature.
